We review and categorize your transactions, reconcile your bank and credit-card accounts, prepare monthly reports, and identify anything that requires your attention. At year-end, your books are organized and ready for tax preparation.

Monthly Bookkeeping Packages

Every package includes the same core monthly bookkeeping services. Your package is determined by the volume and complexity of your business activity.

These prices are starting points. We confirm the monthly fee after reviewing your current bookkeeping file, account structure, average transaction volume, and any additional requirements.

If your business exceeds either the transaction limit or the included number of accounts, a higher package or customized quote may apply.

What Is Included in Monthly Bookkeeping?

Every regular monthly bookkeeping package includes:

  • Reviewing and classifying business transactions

  • Reconciling the included bank and credit-card accounts

  • Recording routine bank activity

  • Reviewing uncategorized and potentially duplicate transactions

  • Completing the monthly close

  • Preparing a monthly profit and loss statement

  • Preparing a monthly balance sheet

  • Sending you a clear list of questions, missing documents, or transactions requiring clarification

  • Maintaining organized, tax-ready books for year-end

Our goal is not simply to categorize transactions. We want your financial records to be complete, consistent, and useful throughout the year.

Tax return preparation is not included in the regular monthly bookkeeping fee unless it is specifically included in your engagement.

Need Help With Invoices, Bills, or Payment Follow-Up?

Some businesses need more than monthly transaction categorization and reconciliation.

We can also assist with operational bookkeeping tasks such as:

  • Creating and sending customer invoices

  • Entering vendor bills

  • Recording customer and vendor payments

  • Monitoring outstanding invoices

  • Following up on unpaid customer invoices

  • Maintaining accounts receivable or accounts payable records

These services can generally be added for $100–$200 per month, depending on volume, or billed at an agreed hourly rate.

The exact scope will be listed in your proposal so that you know which tasks are included.

Setup, Software Selection, and Conversion

If you have recently formed your company, we can help you choose bookkeeping software that fits your business and set up your accounting system correctly from the beginning. If you are already using bookkeeping software but want to switch to a different platform, we can help convert your existing records and establish an efficient workflow in the new system.

The setup or conversion process may include:

  • Reviewing your business structure and bookkeeping needs

  • Recommending bookkeeping software based on your business activity and reporting requirements

  • Setting up your company profile and accounting preferences

  • Creating or customizing your chart of accounts

  • Connecting bank and credit-card feeds

  • Setting up sales-tax, payment-processor, payroll, or other relevant integrations

  • Importing or converting historical transactions and account balances

  • Reviewing opening balances and prior-period records

  • Identifying unreconciled or incorrectly categorized activity

  • Establishing a process for submitting documents and answering monthly questions

  • Providing guidance on using the new bookkeeping system

Typical setup or conversion fee: $200–$500

The final fee depends on the software selected, the number of accounts, the amount of historical data being converted, the condition of the existing records, and the level of setup and guidance required.

Catch-Up and Cleanup Bookkeeping

Monthly packages cover current, ongoing bookkeeping. Work relating to previous months is quoted separately.

Cleanup may be necessary when:

  • Accounts have not been reconciled

  • Transactions have been left uncategorized

  • Account balances do not match bank statements

  • Duplicate transactions have been recorded

  • Personal and business expenses have been mixed

  • Prior bookkeeping contains significant inconsistencies

  • Several months of bookkeeping are incomplete

Catch-up and cleanup work is generally billed at $75–$100 per hour or provided as a fixed quote after we review the file.

The minimum cleanup fee is generally approximately equal to one regular monthly bookkeeping fee. For months requiring extensive correction, the fee may be approximately one to one-and-a-half times the regular monthly fee for each month being cleaned up.

We will review the condition of your books and provide an estimate before beginning cleanup work.

Services Requiring a Separate Quote

Unless specifically included in your proposal, monthly bookkeeping does not include:

  • Reconstructing missing financial records

  • Contacting banks, customers, or vendors to obtain missing documents

  • Extensive research into unidentified transactions

  • Payroll processing or payroll amendments

  • Sales tax preparation or filing

  • Correcting previously filed tax returns

  • Amending prior payroll or tax filings

  • Preparing income tax returns

  • Creating historical invoices or bills from incomplete records

  • Managing collections or disputed customer balances

  • Bookkeeping for additional entities or accounts not included in the package

How do you determine my monthly package?

We consider your average monthly transaction volume, the number of bank and credit-card accounts, and the complexity of your business activity. We review this information before confirming your price.

What counts as a transaction?

Transaction volume generally refers to the combined activity appearing in the bank and credit-card accounts included in your package. We confirm the applicable volume during our initial review.

What happens if my transaction volume changes?

Occasional fluctuations generally do not require an immediate change. If your average volume or the complexity of your bookkeeping increases significantly, we may recommend moving to a different package.

Do I need cleanup before monthly bookkeeping begins?

Not always. If your current books are complete and reconciled, we may be able to begin with onboarding and current monthly work. If previous months contain unreconciled accounts, missing transactions, or incorrect balances, we will provide a separate cleanup estimate.

Is tax preparation included?

No. Monthly bookkeeping keeps your financial records organized and ready for year-end tax preparation. Tax return preparation is a separate service unless your proposal specifically states otherwise.

Can you send invoices or enter vendor bills for us?

Yes. Customer invoicing, vendor bill entry, payment recording, and payment follow-up can be added to your monthly package for an additional fee.
